Booking a wedding venue is one of the biggest decisions in the wedding planning process, I've worked with couples who have everything about their special day around securing their dream location. To ensure you're fully informed and can avoid surprises, here's my list of questions to ask before booking your wedding venue.
1. Availability & Basics
Is my preferred date available?
How many weddings/events do you host per day?
How long do we have the venue for on the day of the wedding?
Is there a backup plan for bad weather (especially for outdoor venues)?
2. Cost & Payment
What is the total cost, and what is included in that price?
What is the deposit amount, and when is it due?
What is your cancellation or rescheduling policy?
Are there any additional fees (cleaning, overtime, service charges)?
What’s the payment schedule?
3. Capacity & Layout
What is the maximum capacity for seated and standing guests?
Are there separate areas for the ceremony, cocktail hour, and reception?
Are tables, chairs, linens, or other furniture included?
Can we move things around or bring our own décor?
4. Vendors & Catering
Do you have a preferred or exclusive vendors list?
Can we bring in our own vendors (caterers, photographers, DJs)?
Is there an on-site kitchen for caterers?
Are there food and beverage minimums?
Is alcohol included or allowed? What are the rules? Do youi charge corkage?
5. Timing & Logistics
What time can we start setting up, and when do we need to clean up?
Are there any noise restrictions or curfews?
Is there on-site parking or valet service? Is it free?
Is the venue wheelchair accessible?
Are there dressing rooms or prep areas for the wedding party?
6. Staffing & Coordination
Is a venue coordinator included, and what do they handle?
Will staff be present during the event (security, cleaning staff, tech support)?
Who is our main point of contact before and during the wedding?
7. Décor & Personalization
Are candles, sparklers, or other open flames allowed?
Can we hang decorations or use tape/nails on the walls?
Are there restrictions on floral arrangements, confetti, or rice throwing?
8. Insurance & Licenses
Do we need to get event liability insurance?
Are you licensed to serve alcohol?
Do you have all necessary permits for events?
9. Overnight & Guest Accommodations
Are there accommodations on-site or nearby for guests?
Is there a bridal suite or honeymoon suite available?
10. Contingency Plans
What happens in case of a power outage or emergency?
Do you have backup generators or emergency staff?
It seems like a lot to think about doesn't it? But please don't feel bad about asking these questions, it's better to be prepared and know that you and the venue are both on the same page and you can do all the things you wan to.
